Project Administrator

Location: West Des Moines, IA (Primarily In-Office with Limited Remote Flexibility)

StructSolve Engineering is looking for a detail-oriented and organized Project Administrator to manage the administrative backbone of our engineering projects. In this role, you’ll ensure seamless coordination between engineers, project representatives, and clients by handling contracts, paperwork, scheduling, and document management.

Project Administrators are key to StructSolve’s commitment to Truth, Integrity, Impartiality, and Super Service. By keeping projects on track and communication clear, you’ll help create smooth workflows that support both our clients and our internal team.

Your Responsibilities

  • Process project contracts, paperwork, and invoices with accuracy and timeliness.

  • Manage project scheduling and ensure deadlines are consistently met.

  • Track project progress and update internal systems with current status.

  • Maintain precise records of active and completed projects.

  • Facilitate communication between engineers, project representatives, and clients.

  • Address administrative issues promptly to prevent project delays.

  • Use Kyrios (CRM) and internal software systems to manage tasks and workflows.

  • Prior experience in administration, project coordination, or office management.

  • Proficiency with CRM systems, scheduling tools, or project management software.

  • Professional demeanor with a commitment to business-casual presentation.

What to Expect

  • Standard hours: Monday–Friday, 9:00 AM–5:00 PM.

  • Primarily in-office position; remote work may be allowed with management approval.

  • In-person presence required for meetings, document handling, and office-based coordination.

  • Independent Contractor (1099) status; at-will agreement with two weeks’ written notice required for termination by either party.

  • Must log work hours and activities in Kyrios, StructSolve’s internal system.
